In light of DMARC and other issues that a mailing list provider (like us) can run into, we thought it would be wise to offer some best practices that may help reduce some of the more frequent issues we see with Mailman hosting clients. Here they are:
1. DMARC. To deal with strict DMARC policies, the version of mailman we offer now comes with some additional features that will allow you, the list administrator, to handle DMARC. First of all, please do not use the from_is_list option on the General options page to deal with DMARC anymore. Instead use the dmarc_moderation_action and dmarc_moderation_notice settings found on the Privacy options --> Sender Filters page. Use the settings "Mung From".
2. Turn off monthly password reminders on the General Options page.
3. If your lists tend to get a lot of spam whether post spam or subscription spam (a new form of spamming) then set the "Discard held messages older than this number of days. Use 0 for no automatic discarding. " setting to something reasonable on the General Options page.
4. If the option is available, set the "Should Mailman personalize each non-digest delivery?" setting to Full Personalization on the Non-digest options page. All of our servers have this option enabled.
5. Make sure you have bounce processing turned to on. The settings on the Bounce Processing page will vary from list to list depending on the list volume. Please adjust your settings accordingly and just don't accept the default values.
6. Set the "How many Your Membership Is Disabled warnings a disabled member should get before their address is removed from the mailing list." setting on the Bounce Processing page to 0. Please do not use this as the membership disabled warning will most likely get bounced in most cases.
7. If you are a list administrator, and your posts are not making it to the lists, then make sure you are not setup as a moderated member. Most lists have posts sent by moderated members discarded. This is especially the case with one-way lists. You will need to be setup as a member or your email address added to the "List of non-member addresses whose postings should be automatically accepted. " setting on the Privacy options --> Sender Filters page.
8. On the Privacy options --> Sender filters page, set the "Action to take for postings from non-members for which no explicit action is defined." to Discard.
